National Checklist Day – The Magic of Ticking Things Off

The Magic of Ticking Things Off

Did you know that October 30th is National Checklist Day?

If you’re anything like me, there’s something deeply satisfying about ticking off a to-do list. That little ✓ might look small, but it’s basically a mini dopamine hit. Proof that you’ve moved something from “I should probably do that…” to “Done it, nailed it.”

Checklists aren’t just about feeling organised though, they’re one of the simplest, most powerful productivity tools out there.

Why I Love a Good Checklist

When life gets busy (when isn’t it?), a checklist helps keep me grounded and turns chaos into something more manageable.

When I work with clients on the High Impact Productivity programme, one of the first things we look at is how they’re managing their time and focus. Most people aren’t lazy, they’re just trying to do everything at once. And that’s where the humble checklist comes into its own.

It’s not about cramming more in. It’s about creating structure so you can focus on what actually matters.

Checklists stop you firefighting, help you delegate properly, and make progress feel visible, which for busy leaders and business owners is gold dust.

Simple, Not Fancy

You don’t need the latest app or a colour-coded digital board to make a checklist work (although I am a big fan of Trello!). A scrap of paper, a whiteboard, or even the notes app on your phone does the job.

The trick is to keep it short and meaningful.  Just three to five important things each day…anything more becomes noise.

Remember:  your checklist isn’t just a reminder of what to do. It’s a declaration of what matters most today.

Practical Takeaways: How to Make Your Checklist Work For You

If you want your checklist to become your secret productivity weapon, here’s what I recommend:

  1. Start with a brain dump Write down everything swimming around in your head. Big, small, urgent, long-term just get it out there. Seeing it on paper stops your brain from juggling it all.
  2. Choose your ‘Big Three’ Pick the three things that would make today feel productive if you achieved them and nothing else. These are your priority items. (Bonus tip: do them first, before emails steal your focus.)
  3. Break big goals into bite-sized actions “Write strategy plan” feels huge and vague so it’s no wonder it stays unticked. Try “outline three key goals” instead. Smaller actions = more momentum.
  4. Time-block the tricky stuff Don’t just write it down, also decide whenyou’ll do it. A checklist plus a calendar slot makes tasks far more likely to happen.
  5. Celebrate the ticks It sounds silly, but don’t underestimate that little burst of satisfaction when you mark something off. It builds momentum and momentum builds consistency.  I keep a ‘wins’ list next so that I can look back at the end of each week to see what I achieved, it’s amazing how much you forget about when you’re head down in the grind.

The Power of a “To-Don’t List”

Here’s the bit most people miss – what not to do.

If your to-do list keeps growing no matter how hard you work, it’s probably missing a twin: your to-don’t list.

This is where you park the habits, distractions, and time-wasters that pull your attention away from high-impact work. Things like:

  • Checking emails first thing in the morning
  • Saying yes to every meeting invite
  • Micromanaging tasks your team can handle
  • “Just quickly” scrolling social media between jobs

A “to-don’t list” helps you protect your focus just as much as your checklist helps you organise it. It’s a boundary tool, not a guilt trip.

Try writing one alongside your to-do list this week, you might be surprised by how much space it frees up.

Beyond the To-Do List

If you often find your checklist never gets shorter (no matter how hard you work), it’s worth asking why.

Sometimes the problem isn’t that you need a better list, it’s that you’re trying to do things that shouldn’t even be on it.

That’s something we explore deeply in our High Impact Productivity programme. It’s not about more checklists or longer hours. It’s about shifting focus to what actually moves the needle whilst also building the systems, habits, and delegation skills to keep it that way.

Over to You

Since it’s National Checklist Day, I’d love to know what’s on your list today? What’s the one task that’ll make you feel like you’ve had a win when you tick it off?

If you’re ready to stop drowning in tasks and finally take control of your time, not just your to-do list, drop me a message and let’s have a quick chat.
